How to use default paragraph styles
Microsoft Word’s default paragraph styles are designed to save time while ensuring consistency. A paragraph style is essentially a pre-set collection of formatting options, such as font, size, colour, and spacing, which you can apply to any paragraph.
Step One
To access paragraph styles, go to the top toolbar and locate the ‘Quick Styles’ panel. Click on a style (e.g., Heading 1, Heading 2, or Body) to apply it to a paragraph. To check if an existing section has a style, simply place your cursor in the section, and the selected style will be highlighted in the toolbar.
Step Two
If you want to access additional styles, click the small arrow at the bottom right of the ‘Quick Styles’ panel. This will reveal all of the different options available. You can also download additional options online.
Bonus Tip: If you’re planning on adding a table of contents, then you will need to ensure you are using heading styles. Word will use these to automatically generate the table.

How to create paragraph styles
Creating a custom paragraph style allows you to apply a unique, cohesive format across all your paragraphs. This is particularly useful for personalised layouts or documents that require specific branding.
Step One
Begin by manually selecting the font, colour and spacing you want to achieve in your paragraph style. Once happy, go to the ‘Quick Styles’ panel, click the small arrow and choose ‘Save Selection as a New Quick Style’.
Step Two
Another way to create a paragraph style is to navigate to the top toolbar, select ‘Change Style’ and scroll down until you see ‘Create New Style’. In the dialogue box, set the style type to ‘Paragraph Style’ and ensure it’s based on ‘No Style’ for a fresh starting point.
Step Three
Preview how it looks in the preview window, and if all OK, add it to your quick style list so you can access it easily.

How to update paragraph styles
Updating a paragraph style allows you to change the appearance of all text assigned to that style, ensuring consistent updates across your document.
Step One
Highlight the text and apply any changes you would like to make, such as font size, colour and spacing.
Step Two
Right-click on the style in the ‘Quick Styles’ panel, then select ‘Update to Match Selection. This will update the style and apply it consistently throughout the document.
Step Three
Alternatively, right-click on the style in the Quick Styles panel and select “Modify.” This opens the “Modify Style” menu, allowing you to make detailed adjustments, such as adding bold or italic effects, changing alignment, or adjusting line spacing.
Step Four
Use the preview function to check how your changes will look, and once satisfied, press OK to apply the updates.

How to add a first-line indent to a paragraph
A first-line indent is a professional touch often used in books and essays to mark the beginning of new paragraphs. Rather than pressing the Tab key (which can lead to formatting inconsistencies), use the paragraph settings to create a consistent first-line indent.
Step One
To add an indent, go to the “Home” tab, click “Paragraph”, and select the small arrow in the bottom-right corner to open the full paragraph settings menu. Under “Special” in the “Indentation” section, choose “First line” and adjust the measurement to your liking.
Step Two
Microsoft Word will show you a preview so you can double-check that it looks as intended, and once happy, press confirm.
Step Three
If you have already created a paragraph style, then you can easily update this to include the first-line indent. Repeating the process above, right-click your paragraph style in the Quick Styles panel and choose “Update to Match Selection”.
